WriteHow ("WriteHow", "we", "us", or "our") provides software that helps teams capture workflows and automatically turn them into step-by-step documentation. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website, browser extension, and web application (together, the "Services").
1. Information we collect
Information you provide
- Account information: name, email address, password (if you sign up with email), and workspace/organization details.
- Content you create: recordings, screenshots, captured on-page text, microphone narration/audio, transcripts, steps, and documents you capture or edit using WriteHow.
- Billing information, handled by our payment processor; we do not store full card numbers.
- Communications: messages you send to support or feedback you share with us.
Information collected automatically
- Usage data: features used, actions taken, and timestamps.
- Device and log data: browser type, operating system, IP address, and diagnostic logs.
- Cookies and similar technologies, used to keep you signed in and to understand product usage.
2. The WriteHow browser extension
The extension only captures data while you have an active recording running and have granted the relevant permissions:
- It records your clicks, navigation (page URLs and titles), typed input, and scrolling on the page you are documenting, and captures screenshots of that page.
- With your permission, it captures microphone audio so your narration can be transcribed into the guide.
- It does not track your browsing, capture screenshots, or record audio outside of an active recording you start.
- Privacy by design: before anything is saved, the extension can automatically drop password and sensitive fields and mask cards, SSNs, one-time codes, tokens, and email addresses, and lets you blur sensitive areas of screenshots.
3. How we use information
- To provide, maintain, and improve the Services.
- To generate, store, and let you edit and publish the documentation you create.
- To authenticate users and secure accounts.
- To respond to support requests and communicate with you about the Services.
- To detect, prevent, and address fraud, abuse, and security issues.
- To comply with legal obligations.
4. How we share information
We do not sell your personal information. We share it only in these limited cases:
- Service providers (subprocessors): vendors who help us operate the Services under confidentiality obligations, including: cloud hosting and database/storage, an AI provider (Google) that generates your guide from your recording and screenshots, a speech-to-text provider (Deepgram) that transcribes your narration, a payment processor, transactional email, and product analytics.
- Within your workspace: content and activity may be visible to other members of your organization, according to your settings.
- Legal reasons, when required by law or to protect the rights, safety, and property of WriteHow, our users, or others.
- Business transfers, in connection with a merger, acquisition, or sale of assets.
5. Limited use of your data
Our use of information received from the Services adheres to a limited-use commitment:
- We use it only to provide and improve the features you use, turning your recordings into documentation.
- We do not sell it, and we do not transfer it to others except as described in this Policy.
- We do not use it for advertising, and we do not use it to determine creditworthiness or for lending.
- We do not allow humans to read your content, except: with your consent; for security or to comply with the law; or where the information has been aggregated and anonymized for internal operations.
6. Data retention
We retain your information for as long as your account is active or as needed to provide the Services. You may request deletion of your account and associated data at any time, subject to legal retention requirements.
7. Security
We use industry-standard technical and organizational measures to protect your information, including encryption in transit and access controls. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
8. Your rights and choices
Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at privacy@writehow.com. You can also manage cookies through your browser settings.
9. International transfers
Your information may be processed in countries other than your own. Where required, we use appropriate safeguards for such transfers.
10. Children's privacy
The Services are not directed to children under 16, and we do not knowingly collect their personal information.
